Invoices & the invoice run

An invoice is a period's calls, added up for one user. Nothing bills itself automatically on a schedule unless someone sets that up — normally, an invoice appears because a member of staff runs the invoice run, or it never runs and no invoices appear.

In plain words: when does it run, and what does it include?

The invoice run is not a background job that fires on its own. It runs only when:

  • A staff member opens Customers > Invoices and clicks Invoice run, fills in a period, and submits the form — this happens instantly, while the page waits.
  • A staff member uses Recalculate to delete a period's unpaid invoices and generate them again (for example, after a rate correction).
  • An administrator has set up a scheduled cron action for it — if nobody has configured one, this path never fires.

Whichever way it starts, the run does the same thing: for each selected user, it adds up their answered calls in the chosen period and turns the total into one invoice. A user who made no calls in the period is skipped by default and gets no invoice for it.

Note

A user can only ever get one invoice for the exact same period — running it twice for the same user and dates does not create a duplicate.

Running it for one user only

Open Customers > Invoices and select Invoice run. The Type field is what decides the scope — it isn't only "everyone": choosing Single user reveals a User ID field, so a run can be limited to exactly one account instead of every postpaid or every prepaid user.

Type = "Single user" limits the run to one User ID — this is how the demo invoice below was made.

What each field means

Warning

"Postpaid (all)" and "Prepaid (all)" run over every matching user on the system at once — that's the real invoice run a billing period actually uses, and it isn't something to click just to see what happens. Test or demo runs belong on "Single user", against one known account.

The resulting invoice

After the run, Customers > Invoices lists every invoice with its number, user, period, issue date, net and gross totals, paid status, and whether it was sent.

The demo user's single-user run produced exactly one invoice, number 1.

Opening a row shows the actual positions — here, one answered call to a German mobile number:

If a user does have a tax rate, up to four tax lines (Tax 1–Tax 4) appear between Net and Gross on this same page. From here, staff can mark an invoice paid, mark it sent, queue it to go out by email (a separate, scheduled step — this button only queues it), or delete it — deleting is blocked once an invoice has actually been sent.

Downloading a PDF

The PDF download is not on the detail page above — it lives on the Invoices list itself: a PDF link on every row (next to Details), plus a bulk PDF button top-right that exports every currently filtered invoice at once.

Every row on the list carries its own PDF link, next to Details.

Recalculate

Go to Customers > Invoices > Recalculate to delete a period's unpaid invoices and generate them again — useful after fixing a rate or a routing mistake. Invoices already sent are left untouched (unless a separate setting allows recalculating after sending). Like the invoice run itself, User ID can be left empty to affect every user of the chosen type, or filled in to limit it to one account.

Recalculate invoices — left on its defaults, this would touch every postpaid user's unpaid invoices for the period.

Invoice numbering

Every invoice gets a Number when it's generated — shown as the first column on the list and in the page title on its detail page ("Invoice 1"). On a fresh install, the first invoice generated is simply number 1; numbers continue upward from whatever has already been issued.

Check

After a run, the count at the top of Customers > Invoices ("N shown") tells you how many invoices exist in the current filter — compare it to how many users you expected the run to touch, especially after a "Single user" run, where it should be exactly one new row.
