Payments & payment gateways

A payment is money booked onto a user's account — most often typed in by staff after a bank transfer or cash payment. This page covers recording one by hand, the payments list, and where the (not yet connected) online gateways are configured.

Add a manual payment

Go to Customers > Payments and select Manual payment (or click a user's payment icon on the Users list, which pre-fills the user). The form is a deliberate two-step flow: fill it in, check it, then confirm it — so nobody books the wrong amount by mistake.

Step 1: user, amount, date, and two separate comment fields.

Step 1 takes either an amount without tax or an amount with tax — never both — and works out the other one from the user's tax rate. Clicking Next (Check) shows a review with a balance preview before anything is booked:

Step 2: the review — current balance, the exact new balance, then Confirm.

Only after Confirm is the payment actually booked and the balance changed. In the demo run behind this page, that moved "Demo Company" from 9.958 EUR to 14.958 EUR.

What each field means

FieldMeaning
Amount (without tax)What is added to the balance. Fill this or the field below, not both.
OR amount with taxWhat the payer actually paid, tax included; the balance amount is derived from it.
Payment dateDefaults to now; cannot be set in the future.
Private commentInternal note, staff-only.
Comment for the userShown to the customer alongside the payment.

The payments list

Go to Customers > Payments. Every booked payment appears with its date, user, type, amount, currency, status, and both comment fields; each row can be deleted, and a Payments CSV export sits next to the Manual payment button.

The payments list — the demo top-up shows as "completed", 5.00 EUR.

Payment gateways

Go to Customers > Payment gateways. This page holds the configuration for six online payment providers customers could pay through directly: PayPal, WebMoney, Cyberplat, Linkpoint, Ouroboros and Paysera — each with its own Status, account/API fields, a default currency, min/max amounts, and (for most) a Test mode switch.

Payment gateways — configuration is stored, but the checkout itself isn't wired up yet (see the note on the page).
Warning

The page itself says so: the gateway configuration is stored in full, but the actual checkout (a customer paying through PayPal, WebMoney, Cyberplat, Linkpoint, Ouroboros or Paysera) is not yet connected. Filling this in today configures credentials for later, not a working payment button now. Every account/secret field here should be treated as a real secret — the wiki masks them in every screenshot regardless of whether a value is set.

Check

After confirming a manual payment, open the user's page — its Balance should reflect the new amount immediately, and the payment should appear at the top of Customers > Payments.
